An assistant in a financial planning office is immediately needed for 32-40 hours per week. The ideal candidate will be experienced in handling a wide range of administrative and executive support related tasks and will be able to work independently with little or no supervision. The person must be exceedingly well organized, flexible and enjoy the administrative challenges of supporting a small office.
The ability to interact with staff (at all levels) in a fast paced environment, sometimes under pressure, remaining flexible, proactive, resourceful and efficient, with a high level of professionalism and confidentiality is crucial to this role. Expert level written and verbal communication skills, strong decision making ability and attention to detail are equally important.
Main tasks will include:
- Perform a wide variety of administrative duties as required to assist the Advisors
- Pre client meeting preparatory tasks
- Form preparation & processing
- Administer compliance deliverables
- Client Meeting Summary Letters
- Financial Plan data input and preparation
- Coordinate Advisor’s schedule
- Prepares Insurance Illustrations
- Business tracking
- Assists Marketing Manager with marketing & client events
- Responds to client questions or issues through independent research and analysis
- Reviews advisor e-mail and voicemails and responds to issues as necessary
- Keeps Client Service Manager aware of client issues which require immediate attention
Required:
- 2 years experience working in an administrative role
- Strong knowledge of MS Office, including Word, Excel, and Powerpoint
- Very comfortable with computers
- Strong client service skills
- Ability to set and meet deadlines, multi-task and prioritize
- Attention to detail and accuracy in work product
- Positive attitude, initiative and a sense of urgency
Preferred:
- Experience working in the financial industry
