JOB DESCRIPTION:
Busy department of a large healthcare is in need of a strong administrative assistant with exceptional computer skills, natural disposition towards organization and proactive approach to potential problems. The focus of this position is to support the Department Manager, Faculty and Department Staff with an array of administrative support.

This is a long term temporary need that will likely transition into a permanent position. There is no parking offered, employees must be comfortable taking public transportation. Position will start as soon as a qualified candidate is identified.
ADMINISTRATIVE DUTIES:
• Answers department phones.
• Process, open, distribute incoming mail and prepare outgoing packages.
• Maintain calendars for Manager, for individual and division-wide meeting calendars for faculty.
• Coordinate travel arrangements, reservations and itineraries for permanent staff, visiting professors or special guests for on campus and off campus needs.
• Assist Department Manager with maintaining candidate files, arranging for training, ID badges, access, office set up, uniforms, etc.
• Runs necessary delivery errands between offices, clinic and various campus locations
• Orders office supplies and manages inventory, including office keys
• Coordinate the application of process for the credentials/privileges/enrollment process for various agencies and organizations.
• Types forms, letters, memos and other material from rough draft, dictated tapes and notes, or detailed instructions including transcription of medical notes.
• Edits and proofs documents and correspondence for general clarity, punctuation, grammar, spelling and typing errors.
• Proficient in use of design software, Acrobat, and PowerPoint to assist in creation of printed publications, reports, business cards, etc
• Assists with technical troubleshooting for equipment and software, point of contact for technical support, arranges repairs; submits requests and work orders for storage/moving/maintenance work with Facilities
QUALIFICATIONS:
• Minimum of 4-5 years of solid Administrative Assistant experience in busy office.
• Proficiency with Microsoft Word, Excel, PowerPoint, Outlook.
• Design software is helpful.
• Strong internet and research skills.
• Ability to manage multiple projects and tasks at one time.
• Have a flexible and willing attitude with the level of responsibilities.
• Be a team player but also be able to work autonomously.
