Responsibilities<br>
1.	Relieve President/CEO of administrative detail for all projects. Coordinate work flow. Be responsible for heavy calendar management, requiring interaction with both internal and external executives and assistants, to coordinate a variety of complex executive meetings, and arrange travel when necessary.<br>
2.	Answer phones and direct incoming calls to appropriate party promptly and efficiently.<br>
3.	Communicate and handle incoming and outgoing electronic communications on behalf of the CEO.<br>
4.	Assist executives with preparation of presentation materials.<br>
5.	Prioritize and manage multiple projects simultaneously, and follow through on issues in a timely manner.<br>
6.	Manage online accounts and administration along with coordinating phone and IT support and trouble shooting. <br>
7.	Support financial administration functions through review, approval and entry of vendor invoices plus employee expense reports into the accounts payable module.  <br>
8.	Facilitate office administration, including ordering supplies, maintaining an organized workplace, managing shipping and receiving of correspondence and packages, and other duties as assigned.  This includes the fulfillment of online orders for the Xplane Press division.<br>

Requirements:<br>
1.	3+ years experience supporting at the executive level <br>
2.	Excellent calendar management skills, including the coordination of complex executive meetings <br>
3.	Strong knowledge of MS Office, including Word, Excel, PowerPoint and Outlook <br>
4.	Experience scheduling travel arrangements for management <br>
5.	Bookkeeping experience and support experience in a professional services environment a plus.<br>
6.	Bachelor’s degree is preferred.<br>

I'm looking for a terrific rental agent for our apartment buildings in (mostly) Northwest Portland. We have 10 buildings with about 80 units (half in one 40 unit building where our office is) almost all within 12 blocks of NW 23rd.  One building is just South of Downtown.

<strong>Requirements:</strong>

<li>Apartment Management Experience Preferred (Similar experience will be considered)</li>
<li>Computer Literacy Required. </li>
<li>You MUST HAVE A RELIABLE CAR and proof of insurance.</li>
<li>References from Previous Employers</li>
<li>You must agree to a background check and drug test prior to acceptance.</li>
<li>You must be physically capable of handling the job including maintenance work</li>

<strong>Duties:</strong>
<ul type="square"></ul>
<li><strong>Rent Apartments</strong> (of course):  Renting apartments means you are a salesperson.  You show apartments.  You answer calls. You tell people about our apartments so they will come and see them.  It's a very one-to-one people oriented kind of thing requiring a postitive attitude and professional appearance.</li>
<li><strong>Bookkeeping:</strong>  You collect the rents, enter them in Quickbooks software, track late payments, notify tenants who are late, etc.</li>  
<li><strong>Customer Service:</strong>  Tenants have issues (repairs, noise, bugs, ...).  You listen to them and figure out what needs to be done.</li>
<li>You also write letters to tenants, post general notifications, track rent raises, and do some other computer work (Familiarity with Word, Excel, Quickbooks all very helpful).</li>
<li><strong>Management:</strong> We have a full-time maintenance person.  You will work with him to figure out priorities and schedules.  You will also relay tenant requests.  You will let the owners (me) know about the bigger stuff and things that require outside electricians, contractors, painters etc.  And keep your eyes open to things around the buildings that need taking care of.  You will also help our maintenace person with some semi-annual stuff (like getting fire extinguishers recharged, checking smoke detectors and the like). </li>
<li><strong>Light Maintenance:</strong>Sometimes we don't have many apartments to rent or things can get slow.  If other work is completed, you help with things like cleaning hallways, some light landscaping like weed spraying, and that kind of thing.  <br>When your other duties aren't filling the time, you would do what needs doing.</li>

-Assist Facility Management Team members to understand and complete payroll; field inquiries from Facility Management Team members regarding specific and general payroll issues. <br>
-Assist Facility Accountants in balancing and tracking payroll transactions. <br>

-Process interim checks for terminated employees in a timely manner as required by state law. <br>
-Set up and maintain wage garnishments (i.e. child support). <br>
-Organize and distribute voided checks, as assigned. <br>

-Provide on-the-job training for newly hired Payroll Specialists. <br>

-Reconcile tax payments vs tax withheld on a monthly basis. <br>
-Prepare and file all federal and state quarterly reports by the established due dates and submit tax payments associated with the quarterly tax reports. <br>

General Position Summary:<br>
<br>
Primary focus of this position is to ensure the company’s global compliance with all customs regulations, as well as other government agencies enforced by customs, for all apparel, footwear, equipment and other miscellaneous products developed and imported by Columbia Sportswear and its subsidiaries.   Specific focus is on the overall administrative and compliance activities of the Foreign-Trade Zone (FTZ) program within the organization. This position has a very heavy focus on Warehouse Inventory System monitoring and controls.<br>

Essential Functions/Responsibilities:<br>
•	Will be dealing directly with the US Bureau of Customs and Border Protection and its officers and inspectors on a regular basis. <br>
<br>
•	Prepare and submit FTZ related Customs forms and supporting documentation on a daily, weekly and periodic basis. Prepare annual FTZ Board reports and Customs annual reconciliation. Manage and operate FTZ management software by executing daily inventory balances, submission of zone admissions, and weekly estimate management. <br>
<br>
•	Act as primary relationship liaison for the Global Customs & Trade Department and designated customs broker to ensure proper documentation and procedure to facilitate timely clearance of goods by proactively addressing and resolving any customs compliance issues to expedite the release of merchandise, reduce risk and cost of container examinations, and enhance Columbia’s reputation as an importer. <br>
<br>
•	Verification of inventory transactions, including but not limited to receipt, shipment, inventory adjustments, valuation and HTS classification transactions. <br>
<br>
•	High-level participation in inventory control, cycle counts, reconciliation, and/or physical inventory activities at each Distribution Center site. Oversee and support proper handling of overages/shortages of goods working within established guidelines by working closely with Distribution Center’s Inventory Control, Receiving/Shipping and Planning departments. Investigate and identify whether an actual overage/shortage occurred and administer corrective action or resolution. This includes conducting quarterly meetings with the distribution centers and corporate personnel to address issues and enhance relationships; includes reporting variances to customs when required. <br>

•	Auditing FTZ activity for Customs compliance, including assistance with Importer Self Assessment monitoring and testing. Compliance auditing in regards to Customs regulations as well as other applicable federal, state and local regulations. <br>

•	Train and educate internal departments and liaison offices in areas related to FTZ and Customs compliance and other government regulations that may affect the production and import of company products. <br>

Specific Job Skills:<br>

SUMMARY OF FUNCTIONS:<br>
Responsible for accuracy of section 42/HUD compliance paperwork on new move in certifications and renewal.  Maintain accurate records for compliance monitoring.  Assist in leasing activities through conversion of telephone and walk-in prospects to leases, resulting in maintained and increased occupancy, and the inherent responsibility to effectively communicate to existing residents, address resident concerns, collect on delinquent accounts and assist Business Manager with weekly and monthly reporting.<br>

MAJOR DUTIES AND RESPONSIBILITIES:<br>
Duties may include, but are not limited to:<br>

1) Compliance monitoring:<br>
a.  Review and complete all move in certification paperwork and ensure paperwork is accurate before  sending to the home office.<br>
b.  Review and complete all renewal notification and re-certification paperwork.<br>
c.  Ensure compliance guidelines are being met.<br>
d.  Provide leasing support during application process.  <br>

2) Marketing:<br>
a. Respond effectively to telephone inquiries to generate prospective resident visits to<br>
the property. <br>
b. Show and demonstrate apartments, utilizing sales skills to demonstrate market<br>
ready product and availability to close prospects. <br>
c. Follow-up with prospective residents.<br>
d. Monitor telephone and walk-in traffic at property via welcome cards and traffic<br>
logs.<br>
e. Walk vacant ready tour route ensure quality presentation.<br>
f. Obtain lease information and complete lease applications. Conduct required credit<br>
and reference checks. Set up and maintain lease files.<br>
<br>
3) Lease Administration:<br>
a. Perform move-in inspections with new residents.<br>
b. Review welcome packet with new resident in a timely manner.<br>
c. Maintain legal records/files.<br>
d. Input daily activity in esite and on daily report.<br>
<br>
4) Assist with resident relations:<br>
a. Prepare and process resident service requests.<br>
b. Assist with resident problems and complaints concerning rent payments. <br>
c. Assist with preparation of newsletters and promotion flyers.<br>
d. Assist with the planning of community activities and events.<br>
<br>
5) Accounting policies and procedures:<br>
a. Collect, record & deposit rental payments, application fees, security deposits, etc.<br>
b. Maintain account records and journals and make bank deposits.<br>
c. Help to prepare legal action for evictions, as necessary.<br>

6) Reporting:<br>
a. Complete daily and weekly reports.<br>
b. Complete monthly operations reports, including market survey, renewal strategy and <br>

c. Assist in maintaining office clerical, filing and record keeping systems. <br>

ORGANIZATIONAL RELATIONSHIPS:<br>
