Bella Vie is a country birth center located in Hopewell (approx.15 min. from McMinnville and Salem). We seek to empower women and families as they journey through pregnancy, birth and the post partum period. It is essential that everyone on our team, including the office manager, has respect and understanding for out of hospital birth.
The ideal candidate must also be able to maintain sincere, compassionate relationships with our staff and clients while performing job duties including, but not limited to:
Multi-task in an extremely fast paced environment
Organize & coordinate office operations efficiently
Assist with internal structuring
Oversee employee duties
Help maintain positive employee interactions
Ability to maintain good working relationships with staff while keeping them on task and accountable
Ability to prioritize job duties and delegate tasks appropriately
Receive and process requests from employees (including fielding concerns) prior to management review
Modify current documents and procedures as needed
Assist with account reconciliation / accounts receivable
Greet clients, offering drinks and snacks
Collect out-of-pocket payments (co-pays, deductibles, past due balances)
Answer phones, schedule appointments & make reminder calls
Maintain customer files
Assist with Insurance billing & tracking, verifications, collecting on past due accounts, etc.
Data entry, mailings, neat & organized record keeping, filing, etc.
Order lab tests & ultrasounds
Maintain inventory and order office and medical supplies as needed
Tidy waiting room, kitchen, and bathroom as needed
The ideal candidate will possess the following qualities:
At least 2+ years office / management experience
Able to juggle multitude of competing tasks
Exceptional organizational & problem solving skills
Ability to prioritize, complete, and delegate various tasks
Effectively time manage
Flexible, dependable and trustworthy
Motivated, self starter, high attention to detail
Strong computer skills: MS Office, Outlook, Scheduling & Medical software (EMR experience a plus)
Excellent written & verbal communication skills
Able to maintain a friendly, positive disposition and good work ethic
Welcome feedback and direction
Professional appearance and manner
Able to maintain confidentiality of sensitive information
Criminal History check required

- Location: Yamhill County
- Compensation: $14 per hr during the 90-day trial period. If hired on permanetly at least a $1 raise will be given with the next review being in 6 months.
