The Accounting Clerk's primary responsibility is to support the corporate and field office operations by managing all mail, including invoices, work orders, and packing slips; assisting the Accounts Payable Manager with check run processes including scanning, totaling, and batch report verification. The Accounting Clerk also answers the phone, fills supply orders, and tracks assets. Normal duties include the following:
A. Customer Service / Administrative Responsibilities
Reception: answer phones, monitor front desk email account, greet, and welcome visitors.
Mail: pick up mail from the post office daily, post and mail outgoing mail daily, open, date stamp every page, code, and distribute all mail, including invoices, work orders, and packing slips and bulk mailing.
General office duties: daily opening/closing procedures, filling supply orders, asset tracking, scanning, filing, maintaining organization of the supply room, and manage corporate calendars
Attend periodic industry meetings and training events including assisting with Annual Investors Meeting.
Represent the company in a professional manner at all the times
Comply with local, state, and federal Fair Housing Laws
B. Accounting Responsibilities
Assist the Accounts Payable Manager with check run processes including scanning, data entry, totaling, and batch report verification.
Reconcile Home Depot / Office Depot accounts.
Provide back u p to the A/P Manager.
Learn and ensure compliance with all company, local, state and federal safety rules
Ensure that unsafe conditions are corrected in a timely manner
This list is not all inclusive but rather a guide of the different items that fall under the responsibility of the position. You will be expected to take direction and perform duties requested of you in addition to the above.
Ideal candidate must be self-directed, able to multi task effectively & efficiently, able to prioritize, have excellent data entry skills, demonstrate supreme attention to detail, have advanced organizational skills as well as be punctual and dependable.
Experience with Yardi Voyager preferred (2 3 years)
Intermediate skill level of MS office (Excel, Word, Outlook, Publisher), Windows 7 operating system required
Intermediate skill level in Accounts Receivable and accounting activities (2-3 years)
Experience with general office duties experience including: filing, bulk mailing, time management, data entry, record maintenance, document scanning, and fax/copy machine.
Work requirements: Monday - Thursday from 8am 5pm, Friday from 8:30am 3pm. (37.5-hour work week).
