Customer Service Representative

AIMCO is looking for a professional, positive, customer-orientated individual to join our team.

SUMMARY Processes orders for material or merchandise received by mail, telephone, or personally from customer or company employee by performing the following duties:

ESSENTIAL DUTIES AND RESPONSIBILITIES include the following (other duties may be assigned):
  • Edit orders received for price and nomenclature.
  • Handle incoming Domestic Customer Service calls & e-mails.
  • Inform customer of unit prices, shipping date, anticipated delays, and any additional information needed by customer.
  • Communicate back order report to end users and Distributors once CSA updates -- report sent weekly.
  • Enter data into computer to determine total cost for customer; compute price and discount.
  • Check inventory control and recommend substitutions.
  • Point of contact for distributors, end users, and Regional Sales Managers in assigned territory.
  • Provide support and information to Regional Sales Managers.
  • Resolve customer inquiries and/or escalates to the appropriate department.
  • Initiate purchase requisitions.
  • Route orders to departments for filling and follow up on orders to ensure delivery by specified dates.
  • Receive and check customer complaints.
  • Process all returns.
  • Review and process stock rotation requests.
  • Confer with production, sales, shipping, warehouse, to expedite or trace missing or delayed shipments (back order report).
  • Attempt to up-sell/cross-sell additional merchandise to customer.
  • Compile statistics and prepare various reports for management.
  • Responsible for assertive management of Demo Tool program.
  • Handle issues concerning orders, adjustments, or returns - including working with Regional Sales Manager in establishing pricing and customer set-up procedure.
  • Participate in training programs that will enhance knowledge, skills and abilities, and maximize performance and skill development.
  • Collaborate with internal resources to share information and provide assistance as needed to ensure customer requirements and expectations are met.
  • Enter quotes via S2K.
  • Develop and maintain positive relationships with distributors, RSMs, DSMs, and internal customers.

QUALIFICATIONS

DESIRED EDUCATION and/or EXPERIENCE
  • Associate's degree or equivalent from a two-year college or technical school
  • (or) five years related experience and/or training
  • (or) equivalent combination of education and experience
  • Account management skills.

LANGUAGE SKILLS
  • Ability to both speak and read English fluently.
  • Ability to read and interpret documents such as safety rules, orders, reports, operating and maintenance instructions and procedure manuals.
  • Ability to read and comprehend simple instructions, short correspondence and memos.
  • Ability to write simple correspondence.
  • Ability to effectively present information in one-on-one and small group situations to customers, clients and other employees of the organization.

MATHEMATICAL SKILLS
Ability to calculate figures and amounts such as discounts, interest, commissions, proportions, percentages, area, circumference, and volume.

REASONING SKILLS
  • Ability to apply common sense understanding to carry out instructions furnished in written, oral, or diagram form.
  • Ability to deal with problems involving several concrete variables in standardized situations.
