Overview of Position

We are looking to fill a newly created position on our team. The Bilingual Bookkeeping Assistant will perform day to day accounts receivable and accounts payable functions within OMRI’s bookkeeping system while providing customer service in English and Spanish. The Bilingual Bookkeeping Assistant reports to the Finance Manager.

Major Responsibilities

Accounts Receivable
• In coordination with the Finance Specialist, receive payments and process credit card transactions
o Log electronic deposits
o Post revenues by verifying and entering incoming funds from electronic deposits and checks into bookkeeping system
o Distribute sales receipts as necessary
• Email and/or call English- and Spanish-speaking clients to facilitate payment on processing refunds and credits
• Respond to questions relating to billing, accounts receivable, and work-in-progress from clients and staff
• Maintain accounts receivable client files and records

Accounts Payable
• Prepare timely and accurate vendor billing
o Ensure all invoices and payment requests have received appropriate approvals and coding
o Enter transactions into bookkeeping system
o Prepare and perform check runs
o Prepare bank wire drafts and ensure payments are completed and recorded
• Reconcile OMRI credit card statements, take necessary steps to resolve issues with card account holders, and enter into bookkeeping system for final review before payment
• Audit, code, and record into bookkeeping system petty cash reconciliation for review by Finance Manager
• Maintain vendor files and records
• Respond to English and Spanish billing-related inquiries from vendors and internal staff
• Scan and post billing statements on a monthly basis

Finance Support
• Provide superior customer service in English and Spanish, including answering questions from OMRI Listed suppliers, applicants and prospective applicants regarding banking transactions
• Assist with month-end closure procedures, including assigned account reconciliation
• Assist with assets/equipment record keeping for OMRI property tax filing
• Support maintenance and administration of OMRI’s Internal Financial Control System
o Review and maintain Spanish invoice template and Spanish bank wire instruction documents and coordinate edits with Finance Manager and other staff
o Ensure accounts payable and receivable forms and work instructions are up to date and accurate
o With Finance Manager, identify and develop strategies to optimize efficiency of the receipting process
• Other duties as assigned


Education and Experience:
•Bachelor’s degree in finance or a related field preferred
•2 years of experience with bookkeeping or finance preferred

• Superior speaking, reading and writing skills in English and Spanish on practical, social and professional topics
• Demonstrated knowledge of OMRI processes and procedures relating to program service fees and fundraising
• Ability to research OMRI fee payment discrepancies and resolve bank wire issues independently
• Strong customer service skills
• Superior written and oral communications skills
•Proficient oral Spanish skills
• Willingness to participate in professional development activities, and ability to acquire new skills and adapt to change quickly
• Ability to work constructively as part of a dynamic team
• Proficiency in standard office and bookkeeping software such as QuickBooks
• High level of attention to detail and ability to process complex information and instructions
• Ability to manage and prioritize multiple tasks, organize information, complete tasks in a timely fashion, and appropriate handle confidential business information

• Familiarity with and support for organic food

Other Requirements:
• Ability to work occasional nights and weekends
• Ability to occasionally travel domestically
• Ability to provide annual motor vehicle report and proof of auto insurance, if required
