Westside Sleep Center is owned and directed by Scott D. Fromherz, MD. Dr. Fromherz completed his medical training at Georgetown Medical School and his Neurology Residency at Stanford Medical Center. He went on to complete a 2-year Sleep Medicine Clinical and Research Fellowship at Stanford University under the tutelage of some of the world's most renowned Sleep Medicine physicians. In 2005, Dr. Fromherz returned to his native Oregon where he has been in private practice and working as a consultant or medical director for several area sleep centers. In June 2007, Dr. Fromherz founded Westside Sleep Center, a 4-bed, state-of-the-art sleep facility that serves patients for consults, follow-up, sleep studies and durable medical equipment services.
Westside Sleep Center (www.WestsideSleep.com), located in Tigard, OR has an immediate full-time opportunity for a daytime Administrative Assistant.
Calling patients that are due for annual reminders.
Preparing sleep study data for quality assurance consultant.
Scanning medical charts into an electronic medical records system as requested.
Swapping out backup hard drive on server on a weekly basis.
Weekly shopping for office supplies.
Providing exceptional customer service to patients through friendly, caring, informative, and professional interactions.
Anticipating patient needs and responding quickly to patient requests.
Answering and triaging phone calls.
Taking accurate and comprehensive notes on patient, pharmacy, and insurance company interactions.
Using proper grammar, spelling, and punctuation when creating, reviewing or editing documents.
Maintaining patient privacy and confidential information.
Faxing prescriptions to pharmacy.
Completing forms for patient medication authorizations, including supplying requested information to insurance companies, monitoring pending authorizations, and contacting patients and pharmacies once determination is made.
Completing forms for patient sleep study authorizations, including supplying requested information to insurance companies, monitoring pending authorizations, and contacting patients once determination is made.
Making appointment reminder calls for physician and DME schedule.
Scheduling patient appointments.
Accepting patient payments.
Updating patient addresses and information as requested by office or patients.
Fulfilling requests for medical records from medical offices, insurance companies, State of Oregon, and patients.
Serving as front-desk reception, which includes but is not limited to, scheduling, greeting and rooming patients, accepting patient copayments and accounts payables, new patient paperwork distribution, scanning insurance and identification cards, and taking patient photos.
Maintaining patient food and amenity inventories.
Cleaning coffee pots.
Laundering Linens, making beds in sleep laboratory, and preparing rooms for patient overnight stays.
Facility upkeep: straightening waiting room chairs and magazines, replacing light bulbs, etc.
Performing all other duties and training as assigned.
The successful candidate will possess excellent customer service skills, have strong initiative and follow-up, attention to detail, effective oral and written communication skills and be able to prioritize and manage time efficiently. Must be well organized, thrive in a fast-paced environment, and be able to handle multiple tasks simultaneously. Must be able to follow directions, adhere to practice protocols and practice sound judgment at all times. Must be able to work independently with minimal supervision and produce timely and accurate work. Strong computer skills, including proficiency with Microsoft Word, Excel and Outlook, and the ability to continually learn and update existing computer skills is a must. The ability to maintain positive working relationships with co-workers and to work cooperatively with peers is essential, as is maintaining an excellent attendance record. Must take on additional work as needed and be willing to perform work outside of regular job duties, as assigned.
Successful candidate should have 1+ years of administrative office experience which may include successful completion of an administrative assistant certificate program. Must have experience answering telephones in a busy office, taking messages and transferring calls. Must type a minimum of 50+ WPM by touch. A minimum of a HS diploma or equivalent (GED) is required however, some post secondary or college education is preferred.
